DataMotion SecureMail

The DataMotion SecureMail service is available to BU employees to encrypt sensitive emails. Encryption is required for sending Restricted Use data, such as:

  • Social Security Numbers
  • Credit Card Numbers
  • Passwords
  • Software License Information
  • HIPAA Regulated Data

Support Policy

MET IT is responsible for the following:

  • Processing SecureMail account requests
  • Installation of SecureMail Outlook Add-On for BU-provisioned devices

Service issues should be directed to BU IS&T.

Is DataMotion right for me?

Before requesting a DataMotion SecureMail account, consider the following use cases:

Sharing Public, Internal Use, and Confidential data

Use your standard BU email, which is sufficiently secure for these Data Classifications.

Sharing Restricted Use data (Occasional)

Save your data within OneDrive or SharePoint, then share a link to the data.

Sharing Restricted Use data (Frequent)

Use DataMotion SecureMail service.

How to Use SecureMail

Before starting with DataMotion, contact us to help with provisioning your account. You will receive a notification message with setup instructions when the request has been processed.

On your first access of DataMotion, you will be prompted to create a password. This password is separate from your BU password and should follow these rules:

  • A minimum length of 10 characters
  • At least 1 number
  • At least 1 letter
  • At least 1 special character

When sending a secure email, there are two methods:

DataMotion SecureMail Web Portal

You can send emails directly from the DataMotion Web Portal after logging in.

Microsoft Outlook Client

NOTE: This option is only available for Windows users.

You may download the Outlook addon from the DataMotion Web Portal. After installation, a Send Secure button will be available in your Outlook client.
