Welcoming Coordinator

Reports to: Senior Minister
Effective: 8/1/2025
Status: 12 hours a week for $17,450 a year
FLSA: Exempt

Essential Functions

· Serving as the point person connecting with visitors at Sunday services. This includes welcoming new visitors that attend a Sunday service, understanding their interests, encouraging them to sign our guest book (physical or digital), and connecting them with appropriate people available in the moment (e.g., a minister, other staff, or congregation members). Encourage visitors to sign the visitors book and provide contact information and sign up for various church newsletters
· Identifying and tracking newcomers that walk through other “doors” of First Church (e.g., RE, youth programs, children’s choirs, concerts, fellowship and adult programs). This involves coordination with other staff and committees that regularly interact with folks new to First Church
· Adding all newcomers to our church’s Fellowship One database, with contact information and their initial interests in the church. Facilitate the admission of new members into groups and events
· Follow up with all newcomers via phone, email, and/or postal mail communications to provide information and answer questions; connect newcomers with staff or congregation members, as appropriate; and extend invitations to activities specifically for newcomers and/or activities that match their interests
· Managing the maintenance and staffing of a welcoming table during coffee hours
· Development/sourcing of materials on upcoming events, the church, and Unitarian Universalism that might be of interest to newcomers
· Ongoing tracking of newcomers using the church Fellowship One database, including reviewing reports of newcomers and then updating their status as they become attendees or members (or updating their status if they do not appear again after some time), and reviewing new people that sign up for online Fellowship One accounts and need to be verified and then added to the database
· Coordination of the Journey to Belonging sessions
· Coordination of the annual new member service
· Working closely with a lay-led committee whose mission it is to facilitate outreach and welcome and connect newcomers to the church, including the recruitment and
management of volunteers to join the committee and/or participate in support of the committee’s activities
· Identification and coordination of opportunities in the community that provide church visibility and/or planning and implementing our own activities for this purpose
