Accommodations: Entering the room cost for each night
Entering the room cost for each night, when the cost varies, can be tedious; is there an alternative? Some departments allow the use of an average nightly rate for long stays; check if your department allows this, and if allowed, here is the shortcut: Divide the total lodging expense by the number of days, then enter the start and end date of the stay and the average nightly cost in the screen for the first night; Concur will then spread the cost by day.
If there is a rounding issue, add the remainder amount (generally pennies) to the first night, and note in the “comment” field that average nightly cost was used.
Meals, internet fees, parking, and other costs other than the cost of the room stay, included in the hotel bill, must be broken out; see this document on how to itemize these costs: How to Start an Expense Report.
